Position Summary The HR Administrative Assistant provides administrative support to the Human Resources team and assists with the overall day-to-day operations of the office. This role supports new hire onboarding, background screenings, temporary staffing coordination, teammate and philanthropy events, front desk coverage, customer visits, and general office administration. The ideal candidate is organized, professional, dependable, service-oriented, and comfortable managing multiple priorities in a fast-paced environment. Key Responsibilities
- Coordinate new hire onboarding, including background and drug screenings, new hire documentation, orientation preparation, and first-day logistics.
- Partner with temporary staffing agencies to support onboarding, staffing coordination, and administrative needs.
- Assist with scheduling interviews and coordinating candidate visits.
- Support teammate engagement, recognition, philanthropy, volunteer, and company-sponsored events, including catering, supplies, communications, and event setup.
- Provide backup coverage for the receptionist/front desk, including greeting visitors, answering and routing calls, receiving deliveries, and maintaining a professional reception area.
- Coordinate and prepare for customer, executive, and vendor visits, including conference room setup, catering, refreshments, signage, and meeting materials.
- Order and maintain office, breakroom, meeting, and event supplies.
- Assist with conference room scheduling, meetings, company activities, and general office coordination.
- Maintain administrative trackers, records, calendars, and other departmental documents.
- Provide administrative support to the HR Department and other administrative teammates as needed.
- Handle confidential information with professionalism and discretion.
- Perform other administrative duties and special projects as assigned. Qualifications
- Previous administrative, receptionist, office support, or HR administrative experience preferred.
- Excellent organizational, communication, and customer service skills.
- Strong attention to detail with the ability to manage multiple priorities and meet deadlines.
- Proficiency with Microsoft Outlook, Word, Excel, and PowerPoint.
- Professional, dependable, proactive, and able to work effectively with employees, customers, candidates, vendors, and visitors.
- Ability to maintain confidentiality and exercise good judgment.
- Positive, flexible team player with a willingness to assist wherever needed.
